When you buy a used Toyota from us, you receive a complete export document set: Bill of Lading (B/L), Export Certificate, Commercial Invoice, Packing List, and any required Pre-shipment Inspection Certificate. For container shipments, you also receive the container stuffing report and seal number. We send the original documents by international courier as soon as the vessel departs, and we share the tracking number the same day. We are a direct exporter, not an agency, so the documents are issued in our name as exporter and consigned according to your instructions. What is the Bill of Lading and why is it important?

The Bill of Lading (B/L) is the most important shipping document. It is issued by the carrier and serves three purposes: it is a receipt for the goods, a contract of carriage, and a document of title. The B/L shows the shipper (us), the consignee (you or your agent), the vessel, the port of loading, the port of discharge, and the vehicle details including VIN. You need the original B/L or a telex release to collect the vehicle at the destination port. We can issue the B/L as:

  • Original B/L — three originals couriered to you; you surrender one to the carrier at destination.
  • Telex release — the originals are surrendered at origin, and the destination agent releases the cargo without the paper B/L. This is faster but requires full payment and a release instruction from us.
  • Sea waybill — non-negotiable, used when the buyer and seller have an established relationship; the consignee named on the waybill can collect without an original B/L.

We recommend original B/L for first-time buyers and telex release for repeat buyers who need faster clearance.

What other documents come with the vehicle?

Besides the B/L, you receive:

  • Export Certificate — issued by the exporting country’s authority, proving the vehicle was legally exported. This is sometimes called a deregistration certificate.
  • Commercial Invoice — shows the vehicle price, shipping cost, VIN, and terms. Used by customs to assess duty.
  • Packing List — lists the vehicle and any spare parts or accessories included.
  • Pre-shipment Inspection Certificate — if required by the destination, such as JEVIC for some African markets or QISJ for others. We arrange this and include it in the document set.
  • Certificate of Origin — if required by the destination for duty preference or customs.
  • Marine Insurance Certificate — if you buy insurance through us; recommended for container shipments.

For container shipments, we also provide the container number, seal number, and stuffing photos so you can verify the load before the vessel departs.

How are the documents delivered, and when?

We courier the original documents via DHL, FedEx, or Aramex as soon as the vessel departs, usually within 3–5 working days after sailing. We share the courier tracking number the same day we ship. For telex release, we send the release instruction to the carrier and the destination agent, and you can collect without waiting for paper documents. For LC payments, we present the documents to the bank as required by the LC terms. We also send scanned copies by email before couriering the originals, so you can review them and share with your clearing agent immediately.

What should I check when I receive the documents?

When you receive the documents, check:

  • VIN match — the VIN on the B/L, invoice, and export certificate must match the vehicle.
  • Consignee name — must match the importer or clearing agent exactly.
  • Port of discharge — must be the correct destination port.
  • Invoice value — must match what you paid and what customs expects.
  • Inspection certificate — must be valid and issued by an approved inspection company if required.
